Refund policy
Volunteer Aerial Technologies LLC (“VAT”) provides professional service work rather than ordinary retail merchandise. Because many jobs involve travel, scheduling, flight planning, regulatory review, equipment preparation, and time reserved specifically for a customer, refunds are handled according to the stage of the service.
Cancellations Before Dispatch or Work Begins
If a customer cancels before VAT has begun travel, preparation specifically performed for the job, or field work, any amount already paid will generally be refundable unless a non-refundable deposit or other cancellation term was clearly disclosed before booking.
Cancellations After Dispatch or Work Begins
Once VAT has begun traveling to the project location, arrived on site, performed flight planning specific to the job, begun a search, launched an aircraft, collected data, or otherwise begun performing the agreed service, charges for work already performed, travel already incurred, or committed project costs may be non-refundable.
The amount due will depend on the service and the pricing agreed to for that job.
Unsuccessful Searches or Results
Payment for a drone service does not guarantee a particular result.
For example, a deer, pet, person, defect, heat signature, property feature, or other target may not be located or visible because of terrain, vegetation, weather, temperature, structures, movement, access limitations, thermal conditions, or other factors outside VAT’s control.
If VAT performs the agreed service, an unsuccessful result by itself does not automatically entitle the customer to a refund.
If a job includes a separate success-based or locate-based fee, that fee will only be charged according to the conditions communicated with the customer’s quote.
Weather, Airspace, Safety, or Regulatory Restrictions
Flights may be delayed, stopped, or cancelled because of weather, airspace restrictions, temporary flight restrictions, unsafe conditions, equipment concerns, property-access restrictions, legal requirements, or other circumstances outside VAT’s reasonable control.
When practical, VAT will attempt to reschedule the service.
If VAT is unable to perform the service at all, amounts paid for work that has not been performed will generally be refunded.
Reasonable charges for travel, preparation, or work already completed may still apply when those costs were incurred before the operation became impossible to complete.
Property Permission and Customer-Caused Restrictions
Customers are responsible for obtaining required property permission or access authorization unless VAT specifically agrees otherwise.
If VAT travels to a job or begins work and then discovers that required permission, access, information, or authorization is unavailable, VAT may be unable to continue.
In these situations, charges for time, travel, or work already performed may remain due.
Cancellation by VAT
VAT may cancel or discontinue a service if we determine that the operation would be unsafe, unlawful, outside the agreed scope, or inconsistent with applicable regulations.
If VAT cancels before performing any paid work or incurring an agreed charge, amounts paid for the unperformed portion will be refunded.
Rescheduling
We will make reasonable efforts to accommodate rescheduling when conditions or scheduling conflicts prevent a job from being completed as planned.
Repeated customer-requested rescheduling or last-minute changes may require a new quote or additional travel/scheduling charges when applicable.
Processing Refunds
Approved refunds will be returned to the original payment method whenever reasonably possible.
After VAT processes a refund, the time required for funds to appear in the customer’s account may depend on the customer’s bank, card issuer, or payment processor.
